All the info can be found here in the Chapter Finance Toolkit (also below), but this step-by-step checklist covers the five things necessary:
- π² EIN: How to Complete an Application for an Employer Identification Number (EIN)
- π² OPT-IN: CSTA Chapter Group Exemption Opt-In Letter (Please complete and share with me.)
- π² STATE INCORPORATION: The following form is what Cogency Global needs to do their work (we pay for it):
- Chapter State Registration Information (Please complete and share with me.)
- In the Chapter Information at the top, it is okay to list one chapter leader's home or work address and to update each year.
- To add some context on 'Chapter Directors' - "This should only represent elected Chapter Leaders. If the chapter has more than President and Treasurer [i.e. Vice-President, Secretary, etc.] they should be included."
- π² BANK ACCOUNT: How to Establish a Chapter Bank Account
- You can try setting this up after you have your EIN, but you may need to wait until the state incorporation comes through.
- 4a. Once you have the bank account, you can set up a Stripe account and we can link it to MemberNova: How to Collect Event Registration Fees (aka Setting up Stripe)
- π² UPDATE CHAPTER BYLAWS: Participating in CSTA's Group Exemption (If you've updated your bylaws or have bylaws that include this language, please share them with me?)
- Chapter bylaws need to be updated to include some specific language. If you already have this language in your bylaws, then no need to update.
Chapter Finance Toolkit
Dear Chapter Leaders,
This toolkit covers many of the fiscal responsibilities that fall under the purview of the chapter leaders and is designed to be used as a guide for getting the chapter on the path to sound financial practices. As a chapter leader, it is your duty to set the direction of the chapter and ensure chapter funds are appropriately managed. Having sound financial practices in place ensures that the chapter will continually be able to offer consistent benefits and services to its members.
With strong financial practices in place, your chapter will be able to raise funds for future events and projects from CSTA and other sources.
The toolkit includes topics such as:
The Chapter Financial Toolkit contains resources, tools and guidance to help you in your role as a volunteer leader of the chapter. If you have any additional questions about managing your chapter's finances, please contact CSTA's Chapter Relations Lead, Jason W. Bohrer, at chapters@csteachers.org.
